Shipping Packages Domestically with SendSuite

  • For shipping FedEx with SendSuite, the first step is to take the form off the package.
    • You will notice that the form includes the recipient name and address, FedEx Service type and other special services such as, dry ice, declared value, payment type and Payment account if they are using a third party FedEx account number
  • You will notice that there is a barcode on the top left of the form. This barcode contains the ship requisition number that will pull up all the information for the shipment.
  • Under the first tab titled Ship Requisition, there is a small box below that says “Certified ERR # or Ship Requisition #” and you will left click inside the horizontal box.   • Once you click on the box, it will pull up all the information that the customer inputted including special services.
  • After you have finished reviewing all the information, you will scroll down to the tab titled “Parcel and Line Items” this is where the weight and dimensions can be inputted for the package.
  • Weight for shipments will be generated by using the scale on the pounds setting. For example, if an envelope is 0.1 lbs. then it is not necessary to add any other information. I always enter the weight exactly as it appears on the scale. FedEx’s software does not round up or down either way and this ensures the most accurate pricing.
  • Get your weight for the package by setting it on the scale and typing the weight in the box titled weight (lbs.)

  • There will be situations where we will need to add special services to shipments.
    • Special Services include items such as Dry Ice and Saturday Delivery.
      • For dry ice shipments, we would need to click on special services and enter in how much dry ice is in the package under dry ice weight.
      • The dry ice weight is measured in pounds (lbs.) in SendSuite however, the customer will have the weight in Kilograms that you can find on UN1845 Dry Ice label on the outer packaging.
      • If there is no dry ice sticker on the package but the customer has added dry ice on the shipment through SendSuite, we will add the dry ice weight and place our own UN1845 dry ice label on the shipment.
      • The dry ice weight will be very close to the overall weight of the shipment because the samples inside of the container are very small vials or lab samples.
        • If the package weighs 6 pounds, I would input the dry ice weight as 5 pounds (or 2.5 Kg’s) if the customer did not specify.
      • The UN1845 dry ice label will then be placed on the package where it is visible and does not block any information from the shipping label or pouch containing the commercial invoice or customs documents.
      • Make sure to write in Kilograms, how much dry ice the shipment contains. 1 KG is equal to 2 LB’s by FedEx’s standards.

  • Saturday Delivery is another special service that we provide upon the customer’s request. If instructed, select the Saturday delivery box.
    • Saturday delivery is an important service to make sure a time sensitive shipment arrives on time.
    • We will most commonly see this request on Thursday or Friday when the package would otherwise be delivered Monday and needs to be delivered on Saturday.
    • After checking the Saturday Delivery box, we will continue processing the shipment as normal. The main key here is that once the shipment is completed, we must place Saturday Delivery SDR tape over the shipment so that it is visible on all sides of the box or package.
    • Carefully review all the information to make sure that all the address information is the same and that all the special services are selected.
  • If there is a declared value on the ship request form, it will show up under declared value a few lines to the right of the weight.
    • The bottom section on Parcels and Line items that lists qty, item description, weight and value are for international shipments and can be ignored.
  • This is when you will scroll up to basic shipping and left click rate, once the price appears, you can left click on ship.
  • This will print out the label on your label printer. Rip off the label and place it on the envelope or package where the barcode is on a flat surface.
